1. Introduction
Basecamp is operated by Basecamp Service FZC, registered at Block B-B57-131, Sharjah Research and Technology Park, UAE. We take your privacy seriously. This policy covers what data we collect, how we use it, how it is stored, and what rights you have over it.
This policy applies to all users of the Basecamp.ae platform and website. It is governed by UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data and its implementing regulations.
2. Data Collected
Data You Give Us
When you join the early access list or create an account, we collect what you submit — your name, email address, and details about your UAE entity: company name, free zone or mainland authority, and license type.
When you upload documents to the platform, including trade licenses, incorporation certificates, visa documents, or shareholder agreements, those files are stored and linked to your account.
Data We Collect Automatically
When you visit basecamp.ae, our servers log standard information: your IP address, browser type, the pages you visit, and the time of each visit. This is used to keep the site running properly and is not used to identify you personally.
How We Use Your Data
We use the data you provide to run the platform — storing your documents, tracking your compliance deadlines, and sending reminders when something is due.
We use your email address to send compliance alerts, renewal reminders, product updates, and early access notifications. You can unsubscribe from non-essential emails at any time from your account or by emailing hello@basecamp.ae.
We use anonymised, aggregate data to understand how the platform is used and to improve it. This data does not identify individual users. We do not sell your data. We do not use your data for advertising.
3. Legal Basis for Processing
Under the UAE PDPL, we process personal data on the following grounds.
Contractual necessity
Processing required to deliver the services you have requested, including account management, document storage, and compliance tracking.
Legitimate interests
Processing to operate and improve the platform, prevent fraud, and maintain security, where those interests do not override your rights.
Consent
Where you have given consent for a specific use, such as marketing communications. You can withdraw this at any time.
Legal obligation
Processing required to comply with UAE law or a lawful request from a UAE regulatory authority.
4. Cookies
We use essential cookies for login, session management, and platform security. These cannot be disabled without breaking how the platform works.

What We Don’t Use
We do not use advertising cookies or third-party tracking cookies. Your activity on Basecamp.ae is not tracked for any marketing or advertising purpose.
5. Who Has Access To Your Data
Your data is accessible only to the account holder. Access is protected by authentication controls.
Our internal team may access account data only when required to deliver support or resolve a technical issue. This access is limited and controlled.
We do not allow any unauthorised access to your account or documents at any time.
6. Third Party Access to Your Data
We use third-party service providers to run the platform, including cloud infrastructure, email delivery, and analytics. These providers process data on our behalf under agreements that restrict what they can do with it. They cannot use your data for their own purposes.
We do not sell your data to third parties. We do not share your data for advertising purposes.
If Basecamp Service FZC is acquired or its assets are transferred, user data may be part of that transfer. We will notify users before the change takes effect and before their data comes under a different policy.
7. How Long We Retain Your Data
We retain your data for as long as your account is active.
If you close your account, we delete your personal data within thirty days, unless we are required to retain it under UAE law.
Where we hold data for legal or compliance reasons beyond account closure, we will only keep what is strictly necessary for that purpose and for no longer than required.
8. Security Measures
Documents and company data uploaded to Basecamp.ae are encrypted in storage. Account access is restricted to the account holder and protected by authentication controls.
In the event of a data breach, we will take immediate steps to secure the platform, notify affected users as required under UAE law, and work to prevent any further exposure.
9. Your Data Rights
Under UAE Federal Decree-Law No. 45 of 2021, you have the following rights.
Right to access
You can ask us to confirm whether we hold personal data about you and request a copy.
Right to correction
You can ask us to correct data that is inaccurate or incomplete.
Right to erasure
You can ask us to delete your personal data, unless we are required to keep it under applicable law.
Right to restrict processing
You can ask us to limit how we use your data in specific circumstances, such as where you dispute its accuracy.
Right to object
You can object to processing based on legitimate interests. We will stop unless we have compelling grounds that override your rights.
Right to data portability
Where processing is based on consent or a contract and is carried out automatically, you can ask for your data in a structured, readable format.
Right to withdraw consent
Where we process on the basis of your consent, you can withdraw it at any time. Withdrawal does not affect anything done before it.

10. Cross-Border Data Transfers
Some of our service providers are based outside the UAE. Where data is transferred internationally, we make sure appropriate safeguards are in place as required under the UAE PDPL and its implementing regulations.
We do not transfer your data internationally without ensuring those protections are met.
11. Release of Your Data for Legal Purposes
We will share data if required by UAE law, a court order, or a request from the UAE Data Office or another authority with jurisdiction. Where legally permitted, we will let you know before this happens.
Any release of personal data for legal purposes will be done strictly in line with UAE law and only to the extent required.
Changes to This Policy
We may update this policy when our practices change or when UAE law requires it. When the change is material, we will notify you by email and update the date at the top of this page. Continuing to use the platform after an update takes effect means you accept the revised policy.
